When a form asks for a small PDF

Admission and job portals often ask for documents as a PDF with a limit such as 100 KB, 200 KB or 500 KB. A scan from a shop or a PDF made by a phone scanner app is usually several megabytes, because every page is stored as a large picture.

This tool opens the PDF, redraws each page at a size that is still comfortable to read, and saves the pages again as compact pictures inside a new PDF. It lowers the detail step by step and stops as soon as the file is under your limit.

How to use it

  3. Wait while the pages are prepared. A long document takes a little time on a phone.
  4. Check the size shown on the screen, download the PDF, and open it once to make sure it is readable.

How small can a PDF go?

It depends on the number of pages. As a rule of thumb, a page of printed text needs 30 to 40 KB to stay readable and about twice that to be comfortable to read. In our own test, an 18 page document of 5 MB came down to 437 KB and was still readable, but it could not reach 200 KB. If your limit is too small for the number of pages, the honest answer is to upload fewer pages or to ask which pages are required.

Pages with photographs, coloured backgrounds or stamps need more space than plain text. A clean scan on a white background compresses best.

Tips for a readable result

  • Photograph each page flat, in daylight, with the phone directly above it.
  • Crop each photo to the edges of the page before you choose it.
  • Include only the pages the form asks for.
  • After downloading, zoom in on the smallest text. If you can read it, it is good enough.

Yes, for a file of one to three pages. A page of printed text needs roughly 30 to 40 KB to stay readable, so a long document cannot reach 100 KB. The tool tells you when the limit is too small for the number of pages.
Can I make a PDF from photos of my documents?
Yes. Choose one or more photos instead of a PDF. Each photo becomes a page, in the order you selected them, and the whole file is kept under your limit.
Is my document uploaded to your server?
No. The file is opened and rebuilt inside your browser on your own device. It is never sent to us.
Why can I no longer select the text in the new PDF?
To reach a strict size limit, each page is saved as a picture. The page looks the same and prints the same, but the text cannot be selected or searched. Keep your original file for other uses.
Why does the tool say the file is still over the limit?
The document has too many pages for that limit. Below a certain point the text would become unreadable, so the tool stops there and gives you the smallest readable version. Use fewer pages or a larger limit.
